OFFER LETTER GUIDE

Write a clear, complete offer letter.

Build an employment offer around the people, role and terms already agreed within your company. Use the preview to check both the wording and the finished layout.

01

Start with the people

Begin with the company name and address, its signatory and the candidate name. Add the signatory title and candidate address when useful; those fields are optional.

Company contact information appears when entered. The candidate email is retained for your records and is not printed as part of the letter.

02

Describe the position

State the position title and employment type, then describe whether the work is in-office, hybrid or remote. Add the workplace or remote-work details that belong in the offer.

Use the optional department, responsibilities, hours and schedule fields to make the role specific. A temporary role or internship can also show its expected end date.

03

Make compensation clear

Choose hourly compensation or salary and confirm its basis. For a salary, the annual or monthly basis is a separate choice from how often the employee is paid.

Read the amount, basis and pay frequency together. A $52,000 annual salary paid biweekly is not a $52,000 monthly salary. Include a bonus or commission arrangement only when it is part of the proposed offer.

04

Review the wording, section by section

Select Concise & welcoming or Detailed & structured as a starting point. In Review, open Customize the wording to change individual sections or restore their suggested text.

Switching designs keeps your edited wording. Later changes to the job, dates or pay do not automatically rewrite custom paragraphs, so check those paragraphs again. Use terms your company has reviewed for the offer.

05

Choose a design that feels like your company

Essential presents the offer in traditional paragraphs. Modern uses role and compensation summaries, Executive uses numbered sections, and Letterhead adds coordinated company artwork.

Each design offers six accent colors, three fonts and three text sizes. You can add a PNG or JPG logo, select a company-signature option and include a footer. Longer text and larger type can add pages.

06

Check the finished letter

Read the names, role, dates, work location, pay and additional terms as one complete offer. Leave optional details blank when they should not appear.

The screen preview changes as you work. After completing the required fields, open the watermarked PDF preview to inspect page breaks, branding, signatures and footers. The completed PDF omits the PREVIEW watermark.

07

Save your work and keep your order link

Save for later creates a private editing link valid for 30 days. Your current browser tab also retains your progress while you work. Keep the saved link somewhere secure.

Edit the letter before completion. A completed letter is locked in the customer form; contact support about a correction and keep the order reference. You remain responsible for sharing the finished offer with the candidate.
